Job Title: Customer Service RepresentativeJob DescriptionThe Customer Service Representative supports the customer service department in day-to-day operations, including creating and issuing invoices, initiating billing cycles, verifying appropriate charges, and generating freight quotes in line with established company policies and procedures. This role delivers exceptional customer support primarily via email and occasionally by phone, ensuring accurate and timely communication of order status, delivery details, and billing information.Responsibilities+ Create and issue accurate invoices for customers in accordance with established billing procedures.+ Initiate billing cycles and verify that all charges are correct and properly documented.+ Generate freight quotes using current company policies and procedures.+ Provide excellent customer service support primarily via email and occasionally by phone.+ Manage a high-volume email queue of approximately 100-200 messages per day, ensuring timely responses and updates.+ Communicate client needs, concerns, and delivery information clearly to internal teams such as warehouse and billing.+ Provide customers with status updates and proof of delivery (POD) information as requested.+ Coordinate and manage internal orders with the warehouse to support on-time and accurate deliveries.+ Maintain detailed and accurate data entry related to orders, deliveries, and billing.+ Follow company guidelines and processes to ensure consistency and quality in customer interactions.+ Contribute positively to a team-oriented culture by demonstrating professionalism, reliability, and a cooperative attitude.+ Continuously learn and cross-train on systems and procedures to expand knowledge and support team flexibility.Essential Skills+ Proven ability to provide professional customer service support via email and phone.+ Strong data entry skills with attention to accuracy and detail.+ Ability to manage and respond to a high volume of emails (approximately 100-200 per day).+ Effective written and verbal communication skills for interacting with customers and internal teams.+ Ability to coordinate with warehouse, billing, and other internal departments to resolve customer inquiries.+ Proficiency using MS Office, with particular strength in email applications.+ Understanding of basic billing processes and invoice creation.+ Ability to follow established company policies and procedures for freight quotes and billing.+ Strong organizational skills to prioritize tasks and manage multiple customer requests.+ Consistently positive, pleasant, and friendly attitude focused on teamwork and customer satisfaction.Additional Skills & Qualifications+ High school diploma or GED equivalent.+ One year of business billing experience is preferred but not required.+ Experience in the transportation, logistics, or freight industry is a plus.+ Demonstrated ability to work in a customer service call center or similar environment is beneficial.+ Willingness to learn company systems and procedures and to cross-train across roles.+ Commitment to core values such as doing the right thing, caring about coworkers and customers, and pursuing progress.+ Strong work ethic with a focus on performance, continuous improvement, and professional growth.Work EnvironmentThis role is based in an office environment within a customer service team of approximately 14 people. Annual performance reviews typically include consideration for pay increases tied to performance, knowledge, and cross-training across functions. Shifts may vary within operating hours of 7:00 a.m. to 6:00 p.m. and will be discussed during the interview process.
