About the Role

The Proposal Manager is essential to our proposal journey, facilitating coordination and maintaining the project's momentum from initiation to submission. This role manages the proposal timeline, resources, and task flows while fostering cross-functional collaboration to meet deadlines effectively.

Working closely with Proposal Writers, who craft the compelling narratives, the Proposal Manager blends organization with storytelling to deliver compliant, strategic, and persuasive proposals.

To thrive in this role, you must handle multiple proposals concurrently—often at varying stages—while staying organized, inquisitive, and adaptable. The ideal candidate will have a desire to learn our complex industry, ask insightful questions, and take initiative to advance tasks independently.

While your primary focus will be coordination and communication, you may occasionally lead a full proposal effort during peak times, ensuring that diverse strengths contribute to each submission.

This is a full-time, permanent position with flexible hours Monday through Friday. Remote work is the norm, although there may be occasional travel.

Role Responsibilities

Project & Workflow Management

  • Develop and maintain comprehensive proposal project plans, timelines, and deliverables.
  • Coordinate kick-off meetings, strategy sessions, reviews, and quality checkpoints.
  • Track proposal pipelines, submission statuses, win/loss feedback, and metrics reporting.
  • Oversee multiple concurrent bids, each with distinct timelines, requirements, and stakeholders.
  • Manage a full proposal lifecycle independently when needed to balance team workload.

Process & Compliance Oversight

  • Utilize proposal tools and automation systems effectively.
  • Ensure version control and brand compliance across deliverables.
  • Confirm adherence to RFP requirements and compliance matrices.
  • Monitor execution against governance processes, document standards, and timelines.

Team & Stakeholder Coordination

  • Distribute proposal forms and templates to subject matter experts (SMEs) and assist in content development.
  • Collaborate closely with Proposal Writers to provide necessary timelines, context, and insights.
  • Be the central point of contact for scheduling and coordination within proposals.
  • Support Proposal Writers by reviewing drafts to ensure alignment and compliance.

Communication & Information Flow

  • Review previous proposal submissions and gather relevant insights to guide Proposal Writers.
  • Take organized notes during meetings, ensuring all action items are recorded.
  • Conduct SME interviews professionally to gather technical details.
  • Communicate effectively, especially in writing, when requesting content or confirming timelines.
  • Provide succinct updates to leadership and contributors regarding proposal status.
  • Deliver early feedback on drafts to ensure comprehensive and persuasive responses.
  • Proactively seek clarity and context, asking questions to enhance proposal quality.

Knowledge, Skills and Experience Requirements

Education & Experience

  • Bachelor's degree in Business, Communications, Project Management, or a related field is preferred. Extensive relevant experience may substitute for formal education.
  • Minimum of 5 years of experience in proposals, with at least 3 years in managing full proposal lifecycles.
  • Demonstrated curiosity and commitment to learning within a complex industry.

Technical & Analytical Skills

  • Proficiency in proposal automation tools and project management platforms.
  • Strong organizational skills with the ability to balance competing priorities.
  • Comfortable using AI tools to elevate content quality and improve efficiency.

Communication & Collaboration

  • Exceptional written and verbal communication skills.
  • Apt at interviewing SMEs and summarizing technical details for writers.
  • Strong active listening skills with a knack for capturing comprehensive meeting notes.

Project Management & Adaptability

  • Proven track record of executing projects on deadlines within fast-paced environments.
  • Ability to navigate ambiguity and shifting project priorities.
  • Takes the initiative to resolve issues proactively.
